Public services in Greenland, Sweden and soon Germany use OS2datascanner

OS2datascanner, the GDPR compliance scanner in Denmark, generates reports on compliance with European data protection and confidentiality standards.

OS2datascanner looks for sensitive data in emails, files and other data sources, stored locally or on cloud-based platforms, including Microsoft Office365, SharePoint and Teams, and file-sharing services such as Dropbox and Google Drive.

The solution is developed by Magenta, a Danish open source specialist from OS2 (a public service community in Denmark that shares its efforts in developing open source tools).

Magenta developers are currently preparing to integrate OS2datascanner with Grafana (an open source data analysis and reporting tool). This will allow utilities to use OS2datascanner without the need to link to any proprietary reporting tools.

"Once we have full Grafana support, OS2datascanner will be completely autonomous," says project manager Thomas Ottosen.

The software can be configured to create department reports. It can also report to staff members, finding out which email or file contains, for example, a social security number or other personal data that should not be kept or archived. The reports also highlight files that, according to the GDPR, are too old to be kept.

OS2datascanner does not create copies or recordings. The data is scanned and stored only in memory. Users can click on links to access files and emails, then decide what action to take.

OS2datascanner is already used by 12 municipalities in Denmark , including the cities of Ballerup, Slagelse and Vordingborg.

Outside of Denmark, the software is used by the tax authorities in Greenland, Sweden (a municipality) is about to start a pilot project, and soon in Germany.
